Siena Hotel Spa Casino is looking for a Full-Time Front Desk Agent/Reservations/PBX to attend to guests’ needs, including, but not limited to, registration, checkout, cashiering, and any special requests in a friendly, enthusiastic, professional and timely manner. Meet and greet guests and visitors, answer and forward telephone calls, and provide administrative support to all hotel departments. Responsible for augmenting hotel recognition and reputation by providing exceptional customer service for guests, visitors and callers.

REQUIREMENTS:
  • Knowledge of Opera preferred
  • 1-2 years’ experience in a front desk agent position required
  • Must have excellent verbal and written communication skills
  • Must be able to multi-task
RESPONSIBILITIES/DUTIES:
  • Book accommodations
  • Meet and greet all guests and visitors in a pleasant, courteous and professional manner
  • Register guests into the computer system and verify reservation, address, and credit card information
  • Responsible for immediate acknowledgement of visitors, identifying whom the visitor wishes to see, and notifying that individual immediately
  • Process all room reservations received via telephone, email, facsimiles, mailed correspondence, rooming lists, and in-house requests
  • Mail confirmation and literature or reply via email or facsimile
  • Enter information in the computer system
  • Handle special guest requests
  • File daily reservations and other correspondence
  • Accept payment for guests’ accounts both at the time of registration and at checkout
  • Maintain a house bank and make a deposit and accurate report of daily receipts
  • Transmit credit and food and beverage batches to credit card companies for payment
  • Ensure proper transmittal of debit batches to credit card companies
  • Prepare adjustments to reflect receipt of payments from credit card companies upon notification from the bank
  • Prepare deposit list for cash and check receipts
  • Process weekly the account management software credit approval report
  • Enter credit approvals into account management software
  • Handle credit card charges for all ancillary billings (electrical, delivery, parking, etc.)
  • Clear all “wash-through” accounts in a timely manner
  • Answer all internal and incoming telephone calls in a timely and courteous manner
  • Request sufficient information from the caller to be able to forward the call to the appropriate person
  • Offer assistance and/or information to guests and visitors regarding the hotel and its facilities and the surrounding area with its restaurants and attractions
  • Assist guests with various business needs, i.e., faxes, copies, data entry, etc
  • Post charges to guest accounts
  • Reconcile and post daily revenue activity and run daily reports as required
  • Take messages for guests
  • Provide "Wake Up Calls" for guests as requested
QUALIFICATIONS:
  • Prior reservations experience preferred
  • Must be able to communicate effectively in verbal and written English language
  • High School level math
  • Must possess excellent phone skills and customer service skills
  • Must have ability to prioritize and organize while working in stressful, fast-paced environment
  • Ability to use standard office equipment including multi-line phone system with headset, computer/internet, FAX, copiers, printers, radios, etc
  • Requires basic computer skills
  • Ability to type 30 wpm
  • Previous experience working with Opera software preferred
  • Ability to stand for prolonged periods of time, operate standard office equipment, move freely about the property, and withstand various activities including bending and light lifting
  • Must have pleasant phone presence
