The city of Sparks is looking for a Legal Office Assistant.

  • Provide clerical support, including receptionist duties, typing, recordkeeping and filing, to the City Attorney’s office; this is the entry level class of this legal office support series; includes regular contact with City staff and outside agencies in situations where professionalism and discretion are required
  • Act as receptionist and receive and screen visitors and telephone calls; provide information to the public regarding the particular area of assignment, which requires the use of judgment and interpretation of policies and procedures, or taking messages referring the caller to the proper attorney while providing excellent customer serviceType correspondence, reports, forms, calendars and specialized documents related to the functions of the City Attorney’s Office; enter, edit and retrieve data
  • Proofread and check typed and other materials for accuracy, completeness, compliance with departmental policies and correct English usage
  • Prepare and update a variety of reports which may require the use of arithmetic calculations
  • Assist the Legal Secretaries by compiling case documentation for attorney use and file maintenance
  • Organize and maintain chronological and other files; update statute and code books for attorneys; maintain publications in library
  • Operate standard office equipment, including a personal computer; may operate and create documents from a transcription machine
  • Perform office support activities; open and distribute mail, process outgoing mail and order office supplies
  • Abide by all office and citywide policies, including dress codes, confidentiality, timeliness, and office decorum
  • Perform related duties and responsibilities as required and other duties which may be assigned
  • High School Diploma or equivalent
  • Six months of receptionist, clerical or office support work; bi-lingual and experience in a legal office is desirable
  • Must Submit a typing certificate displaying a minimum of 45 net words per minute
  • Standard office practices and procedures and standard office equipment
  • Policies and procedures related to the City Attorney’s Office
  • Business letter writing and the standard format for typed materials
  • Business arithmetic
  • Correct English usage; including spelling, grammar, punctuation and vocabulary
  • Basic recordkeeping principles and practices
  • Basic business data processing principles and the use of a personal computer
  • Perform detailed clerical work accurately
  • Organize and maintain accurate files
  • Use initiative and sound independent judgment within established procedural guidelines
  • Prioritize work and coordinate several activities
  • Compose routine correspondence from brief instructions
  • Make accurate arithmetic calculations
  • Understand and carry out oral and written directions
  • Establish and maintain effective working relationships with those contacted in the course of employment
  • Type accurately at a rate of 45 net words per minute from printed copy
